A parish’s data belongs to the parish
EccleciaOS is a service parishes and dioceses hire to run their own community. What a parish records — its people, its work, its accounts — stays theirs. We process it on their instructions and only to provide the service.
Every parish is isolated from every other in the database, and that isolation is enforced by the database itself on every query, not only by the program. One parish cannot see another’s data, by accident or on purpose.
What we keep
About the people who use the system: name, e-mail, the identifier the identity provider issues, and what each may do in each parish. Passwords never reach EccleciaOS: the identity provider holds them.
About each parish’s community: whatever the parish itself records — contact details, group membership, taking part in activities, gifts and their receipts.
About the running of it: an audit trail of who did what and when, which is what makes accountability and the detection of misuse possible.
Minors
A minor’s data is recorded only with the consent of whoever holds guardianship, and the system requires that consent before allowing it. Photographs and public listings never identify a minor.
Payments
Card numbers never pass through EccleciaOS. Every payment is completed on the page of the provider the parish configured, and we keep only the outcome: whether it was paid, how much, and its reference.
For how long
For as long as the parish keeps the service, and afterwards for whatever the law requires. Each parish sets its own retention policies and the system applies them by itself, anonymising or deleting what it must.
A parish leaving EccleciaOS can export its data first and ask us to delete it.
Your rights
You may ask for access to your data, for it to be corrected or deleted, or for a copy to take with you. If you belong to a parish, write to your parish first: it decides about that data. If nobody answers, write to us and we will help.
Who we share it with
Nobody, beyond the providers needed to run the service: hosting, file storage, e-mail and messaging delivery, and the payment gateways each parish chooses. We do not sell data and we do not use it for advertising.
